Why is my inventory quantity different from the actual stock in my shop?

Usually it is an unrecorded sale, damaged item, missing item, or a wrong restock. Dashboard and Business Analysis14 questions
What does Total Revenue mean?

All the money your sales are worth, including credit sales not yet paid.

What does Business Balance mean?

It is the money your business has after taking in cash and subtracting what went out, such as expenses.

What is the difference between Total Revenue and Business Balance?

Revenue is everything you sold. Business Balance is only the money that has actually come in.

How is my business profit calculated?

Selling price minus cost price on each sale gives gross profit. Then your expenses are subtracted to get net profit.

Why is my profit different from my total sales?

Sales is what you sold. Profit is what is left after the cost of goods and expenses.

Why are some products excluded from profit calculations?

Those products have no cost price set, so Y Profit cannot work out profit on them. Add a cost price to include them.

What is the difference between profit-tracked and non-profit-tracked products?

Profit-tracked products have a cost price and count in profit. Non-profit-tracked ones count in sales only.

How does Y Profit calculate inventory value?

Quantity in stock multiplied by the cost price of each product, added together.

How can I view my daily, weekly, and monthly business performance?

Open the Analysis page and switch between daily, weekly, monthly and yearly views.

Why does my dashboard show zero profit?

Possible reasons: no sales yet in that period, products have no cost price, or expenses are as high as your gross profit. Check the date range too.

How do I know whether my business is making a profit or a loss?

Look at profit on the Dashboard or Analysis page. Positive is profit, negative is loss.

What does the inventory quantity represent?

The number of units of that product you have left in stock right now.

Why is my inventory value different from the actual amount I expect?

Inventory value is calculated using the cost price of your products, not their selling price.

If the value seems incorrect, check the following:

i.Ensure the stock quantities are correct.

ii.Check that all products have the correct cost prices.

iii.Make sure no cost prices are missing or incorrectly entered.

These factors can affect your total inventory value.

How can I view my best-selling products?

Profit is what you earn on a sale after the cost of the goods is taken out. Profit from a credit sale is already included in the profit recorded for the period (day, month, or year) in which the sale was made, even if the customer has not yet paid. Once the credit sale is recovered, no additional profit is added to the period in which the original sale was made. The payment only adds to the money you have received.
Formula
Profit = (Selling Price minus Cost Price) x Quantity Sold
Example
In March you sell 10 units on credit at 1,000 each. They cost you 700 each, so the profit is 3,000 and it is counted in March straight away. In April the customer pays the 10,000. March still shows 3,000 profit, and no extra profit is added to March or April because of the payment.
Gross Profit
Definition
Gross Profit is what you earn after removing the cost of buying or producing the goods you sold. It shows how much you made from selling, before counting your running expenses.
Formula
Gross Profit = Revenue minus Cost of Goods Sold (COGS)
Example
Revenue = 30,000. You bought the rice for 20,000. Gross Profit = 30,000 minus 20,000 = 10,000.
Note
Inventory value and COGS are calculated using the FIFO (First-In, First-Out) method. This means the oldest stock purchased is counted as sold first.
Net Profit
Definition
Net Profit is what actually remains after all costs including operating expenses like rent, salaries, and logistics are taken from your Gross Profit. This is your real take-home.
Formula
Net Profit = Gross Profit minus Total Expenses
Example
Gross Profit = 10,000. Expenses = 3,000. Net Profit = 10,000 minus 3,000 = 7,000.
Received
Definition
Received is the total amount of money that actually came into your hand or account for the period. This only counts payments that were completed, not credit sales that are still outstanding.
Formula
Received = Sum of all Cash + Transfer + POS payments collected
Example
You made 5 sales: 3 paid by cash (6,000), 1 by transfer (3,000), 1 on credit (2,000). Received = 9,000 (the 2,000 credit is excluded until paid).
Credit Sales
Definition
Credit Sales are sales you have made but the customer has not paid yet. The goods have left your shop, but the money is still owed to you.
Formula
Credit Sales Total = Sum of all unpaid sale amounts still awaiting collection
Example
Customer A owes 5,000 and Customer B owes 3,000. Credit Sales total = 8,000.
Credit Recovery
Definition
Credit Recovery (also called Debt Recovery) is the process of collecting money from customers who bought on credit. When you record a payment from a debtor, that amount is added to the money you have received. It does not add extra profit, because the profit was already counted when the sale was made.
Formula
Debt Recovered = Sum of credit payments received from customers in a period
Example
Customer A owed 5,000 and paid 3,000 today. Debt Recovered for today = 3,000. Outstanding balance = 2,000.
Expenses
Definition
Expenses are the costs of running your business that are not directly tied to the goods you sell. Examples include rent, staff salaries, delivery fees, electricity bills, and marketing costs.
Formula
Total Expenses = Sum of all recorded expense entries for the period
Example
Rent = 20,000. Delivery = 2,000. Electricity = 1,500. Total Expenses = 23,500.
Note
Expenses are subtracted from Gross Profit to arrive at Net Profit. Always record expenses promptly so your profit figures stay accurate.
Outstanding Debt
Definition
Outstanding Debt is the total amount owed to your business by all customers who have bought on credit and not yet fully paid. It is money that belongs to you but has not been collected.
Formula
Outstanding Debt = Total Credit Sales minus Total Amounts Recovered from those customers
Example
Customer owed 10,000. Has paid 4,000 so far. Outstanding Debt = 10,000 minus 4,000 = 6,000.
Inventory
Definition
Inventory is the list of all the products your business holds to sell, together with how many units of each one you have right now. Every product you add to Y Profit becomes part of your inventory, and the app keeps each quantity up to date for you. A quantity goes up when you add opening stock or restock. It goes down when you record a sale or an inventory loss such as damaged, expired, stolen or missing goods. Reversing a sale or undoing a restock puts the quantity back. You can see your inventory on the Products page, and a low stock alert warns you when a product is running out.
Formula
Current Inventory of a Product = Opening Stock + Units Restocked minus Units Sold minus Units Lost
Example
A product starts with 50 units. You restock 20, sell 30 and record 2 as damaged. Current inventory = 50 + 20 minus 30 minus 2 = 38 units. If each unit cost you 1,000, your inventory of this product is worth 38 x 1,000 = 38,000 at cost.
Note
Your inventory in Y Profit only matches your shelf if every sale, restock and loss is recorded. If the two differ, count your shelf, find the cause, then fix the gap with a loss record or by recording the missed sale. Service businesses do not track inventory.
Stock
Definition
Stock refers to the products or goods you currently have available to sell. Your stock level goes down each time you record a sale and goes up each time you restock.
Formula
Current Stock = Opening Stock + Restocked Quantity minus Quantity Sold
Example
You started with 50 units, restocked 20, and sold 30. Current Stock = 50 + 20 minus 30 = 40 units.
Note
Stock value is calculated using the FIFO (First-In, First-Out) method. Older stock is counted as sold before newer stock.
Restock
Definition
Restock means adding more units of a product to your inventory. When you restock, you record the quantity added and the cost price per unit. This updates your available stock and your average cost.
Formula
New Stock Level = Previous Stock Level + Units Restocked
Example
You had 10 units left and added 50 more. New stock = 10 + 50 = 60 units.
Note
Cost prices entered during restock are used to calculate COGS and Gross Profit when you sell those units (FIFO order).
Oversold Products
Definition
A product is oversold when more units are sold than the stock on record, so its stock goes below zero. This can happen when sales are made offline or on two devices at the same time. When the product is restocked, the first units added cover the oversold quantity. The selling price and profit of the oversold quantity are calculated using the details of the previous (finished) stock which it was sold from, not the new batch. Only the units left after covering the oversold quantity are available to sell from the new batch, at the new batch prices.
Example
A product has run out. It cost 600 and sells at 1,000. Five more units are sold, so stock shows minus 5, and each of those sales is recorded with cost 600 and profit 400 (2,000 in total). You then restock 20 units costing 700 and selling at 1,100. The 5 oversold units keep their cost of 600, price of 1,000 and profit of 2,000. The new stock available is 15 units, sold at the new batch prices.
Note
Restocking never changes the profit that was already recorded for the oversold sales.
Cash Received
Definition
Cash Received is the portion of your total payments that customers paid in physical cash, as opposed to bank transfer or POS. It is one of the payment method breakdowns inside the Received total.
Formula
Cash Received = Sum of all sales where payment method is Cash
Example
Out of 10 sales today, 6 were paid by cash totalling 15,000. Cash Received = 15,000.
Sales
Definition
A Sale is any transaction where you exchange a product for money (or credit). Each sale records the product, quantity, selling price, payment method, and the date and time.
Formula
Sale Amount = Selling Price x Quantity Sold
Example
You sell 3 bottles of groundnut oil at 1,200 each. Sale Amount = 3 x 1,200 = 3,600.
Note
Profit per sale is calculated as: (Selling Price minus Cost Price) x Quantity. Cost price used follows FIFO order from your restock history.
Invoice
Definition
An Invoice is a formal document you can create and share with a customer showing the details of a sale, including items purchased, quantities, prices, and total amount due. It acts as a receipt or payment request.
Formula
Invoice Total = Sum of (Unit Price x Quantity) for all line items + any applicable fees
Example
Invoice for: 2 cartons of beverages at 4,500 each = 9,000, plus 500 delivery fee. Invoice Total = 9,500.
Note
Invoices created in the app can be shared as PDFs or images with customers via WhatsApp or other channels.
Report
Definition
A Report is a summary of your business performance over a selected time period. Reports pull together your sales, revenue, gross profit, net profit, expenses, and credit data into one view you can review or export.
Formula
Report figures are aggregated from individual sale and expense records across the chosen date range.
Example
A monthly report for April shows: Revenue = 450,000, COGS = 280,000, Gross Profit = 170,000, Expenses = 40,000, Net Profit = 130,000.
Profit Margin
Definition
Profit Margin tells you what percentage of your revenue becomes profit. A higher margin means you keep more money from each sale.
Formula
Gross Margin (%) = (Gross Profit / Revenue) x 100
Net Margin (%) = (Net Profit / Revenue) x 100
Example
Revenue = 50,000. Gross Profit = 12,000. Gross Margin = (12,000 / 50,000) x 100 = 24%.
Activity Log
Definition
The Activity Log records every significant action taken in the app: sales added, products edited, expenses recorded, restocks, and more. It is useful for reviewing what happened and spotting errors.
Example
Log entry: "Sale recorded. Product: Indomie x5. Amount: 2,500. Time: 10:32 AM."
Offline Mode
Definition
Offline Mode lets you keep working when there is no internet connection. Sales, restocks, expenses and other changes are saved on your device straight away, and a receipt shows immediately after a sale. A banner at the top tells you that you are offline. When the connection comes back, everything saved on the device uploads automatically and the banner confirms when all changes are synced. Your device then refreshes with the latest information from your other devices, and your other devices refresh too, so every device shows up-to-date figures.
Example
The network goes down and you record 3 sales. Each one is saved on your phone and its receipt is shown. When the network returns, the 3 sales upload by themselves and the dashboard on every connected device updates.
Note
If a receipt says the sale is saved on this device, it is safe and will sync, so do not record it again. A new device or a private window has no saved data yet, so open the app once with internet before going offline.
Retail Mode
Definition
Retail Mode is for businesses that buy finished goods and resell them, such as shops, stores, and traders. In Retail Mode, every product has both a Cost Price (what you paid) and a Selling Price (what the customer pays), so Y Profit can calculate Gross Profit directly from each sale.
Formula
Retail Profit = Revenue minus Cost of Goods Sold minus Expenses
Example
You buy a carton of soap for 4,000 and sell it for 5,500. The 1,500 difference is tracked automatically once both prices are entered.
Note
You switch between Retail and Production using the toggle on the Dashboard. Each mode keeps its own separate products, sales, and expenses.
Production Mode
Definition
Production Mode is for businesses that make their own goods, such as bakeries, tailors, and small factories. Cost Price is removed entirely from Production Mode, since the cost of making something is usually a mix of ingredients, labour, and overhead rather than one fixed buying price.
Formula
Production Profit = Revenue minus Expenses
Example
A bakery sells 50 loaves for 75,000 this week and records 28,000 in flour, gas, and wages as expenses. Profit = 75,000 minus 28,000 = 47,000.
Note
Because Production Mode has no Cost Price field, profit comes only from Revenue minus Expenses, not from a per-item margin.
Service Mode
Definition
Service Mode is the third mode in Y Profit, built for businesses that sell time, skills, or services rather than physical goods, such as salons, consultants, repair technicians, and freelancers. There is no stock or cost price to track. Each service simply has a price, and profit is the money collected minus expenses.
Formula
Service Profit = Revenue minus Expenses
Example
A salon charges 5,000 for a haircut and spends 1,200 that day on supplies and rent. Profit = 5,000 minus 1,200 = 3,800.
Note
Like Retail and Production, Service Mode keeps its own separate products, sales, and expenses. A business is set to one mode when it signs up.
Demo Mode
Definition
Demo Mode is a read only preview of Y Profit, filled with realistic sample data so anyone can explore the app without an account. A visitor can browse every page, including Retail and Production, but cannot add, edit, delete, import, or export anything. Any attempted change shows "Demo Mode: Read Only" instead.
Example
Clicking "Check Demo" on the Login screen, or opening a shared demo link, drops a visitor straight into a sample business called Adaeze General Stores, with real looking products, sales, and reports already filled in.
Note
Demo Mode uses the exact same pages as the real app, just pointed at sample data with writing disabled, so it always reflects the latest features automatically.
Business Switching
Definition
Business Switching lets an owner who runs more than one business move between them without signing out. Each business keeps its own separate products, sales, staff, and reports.
Example
You own a provisions shop and a separate bakery, each with its own subscription. Open the Businesses menu and tap the other business to switch into it.
Note
Removing a business from your switcher list only removes it from your own view. It does not delete that business or affect any staff still using it.
Staff Roles
Definition
Y Profit has three roles. Owner has full access, including managing staff and viewing all financials. Manager can record sales, manage products and expenses, but cannot manage staff. Cashier can only record sales, with no access to financial reports.
Example
An owner adds a new cashier under Manage Staff and Roles. That cashier can record sales on the shop floor but cannot see profit figures or expenses.
Note
An owner can preview the app as a Manager or Cashier would see it using Staff Preview, without giving up their own owner access.
Google Sign-In
Definition
Google Sign-In lets you log in to Y Profit using your existing Google account instead of creating a separate password. An owner can also add a staff member by email only, with no password set, if that staff member will sign in with Google.
Example
Tapping "Continue with Google" on the Login screen opens your Google account picker. Choosing an account signs you straight in, or creates your account automatically if this is your first time.
Note
A staff member added with Google Sign-In selected does not need a password at all. Their account is created the first time they actually sign in with Google.
Linked Accounts
Definition
Linked Accounts means a single Y Profit account can be reached with more than one sign-in method. If an email already has a password account and that same email is used with Google Sign-In, Y Profit links them together instead of creating a second, separate account.
Example
You signed up with a password using owner@example.com. Later you tap "Continue with Google" using the same address. You are asked to confirm your password once, and after that either method signs you into the same account.
Note
You can also add a password to a Google only account from the Profile page, in case you ever want a backup way to sign in.
Staff Preview
Definition
Staff Preview lets an owner see the app exactly as a Manager or Cashier would, without actually being that staff member. While previewing, the owner can look around freely, but every action that would change data is blocked, since this is a read only view.
Example
An owner switches to Staff Preview as Cashier to confirm what a cashier can and cannot see on the Dashboard, then switches back to their own owner view.
Note
Staff Preview is different from Demo Mode. Staff Preview shows your own real business data through another role’s eyes. Demo Mode shows sample data to anyone, including people without an account.
Stock Available
Definition
Stock Available is the total number of units you currently have in stock right now, added up across every product that has a cost price added.
Formula
Stock Available = Sum of remaining stock across all cost-tracked products
Example
Product A has 40 units left and Product B has 58 units left. Stock Available = 40 + 58 = 98 units.
Stock Cost
Definition
Stock Cost is what your current stock cost you to bring in. It only counts products that have a cost price added. Products without a cost price are left out of this figure and counted separately under Untracked Stock instead.
Formula
Stock Cost = Sum of (Remaining Stock x Cost Price) for every product that has a cost price
Example
Product A has 40 units left, bought at 15,000 each. Product B has no cost price added, so it is excluded here. Stock Cost = 40 x 15,000 = 600,000.
Note
Add a cost price to a product any time to have it included in this figure going forward.
Stock Selling Value
Definition
Stock Selling Value is what your entire inventory would be worth if you sold everything right now, at current selling prices. Unlike Stock Cost, this covers every product in stock, whether or not it has a cost price.
Formula
Stock Selling Value = Sum of (Remaining Stock x Selling Price) across all products in stock
Example
Product A has 40 units left selling at 20,000 each. Product B has 58 units left selling at 5,000 each. Stock Selling Value = (40 x 20,000) + (58 x 5,000) = 1,090,000.
Untracked Stock
Definition
Untracked Stock is the number of stock units belonging to products that do not have a cost price added. Because there is no cost figure to work with, these units are left out of Stock Cost.
Formula
Untracked Stock = Sum of remaining stock across products with no cost price set
Example
Product C has 38 units left and has never had a cost price entered. Untracked Stock = 38 units.
Note
Add a cost price to a product to move its stock out of Untracked Stock and into Stock Cost.
Total Stock
Definition
Total Stock is the total number of units a product has ever had in stock over its whole lifetime, everything still on the shelf right now, plus everything that has already been sold. Unlike Stock Available, which is a snapshot of stock right now, this counts every unit that ever passed through inventory.
Formula
Total Stock = Sum of (Remaining Stock + Total Sold) across all stock-tracked products
Example
Product A has 40 units left and has sold 60 units over time. Product B has 58 units left and has sold 12. Total Stock = (40 + 60) + (58 + 12) = 170 units.
Total Cost
Definition
Total Cost is what every unit a product has ever had in stock cost to bring in, on-shelf stock plus what has already been sold, valued at each unit’s own cost price. Like Stock Cost, it only counts products that have a cost price added.
Formula
Total Cost = Sum of (Total Stock x Cost Price) for every product that has a cost price
Example
Product A has had 100 units pass through it in total, bought at 15,000 each. Product B has no cost price added, so it is excluded here. Total Cost = 100 x 15,000 = 1,500,000.
Note
Only available in Retail mode. Production items are made, not bought in at a cost, so there is nothing to value here.
Total Sales Value
Definition
Total Sales Value is the total amount everything a product has ever sold would add up to, valued at its current selling price. Unlike Stock Selling Value, which values what is still on the shelf, this only covers the portion that has already been sold.
Formula
Total Sales Value = Sum of (Total Sold x Selling Price) across all products
Example
Product A has sold 60 units at a current selling price of 20,000 each. Product B has sold 12 units at 5,000 each. Total Sales Value = (60 x 20,000) + (12 x 5,000) = 1,260,000.
Total Inventory Value
Definition
Total Inventory Value is the value of every unit a product has ever had, everything still on the shelf right now plus everything already sold, valued at its current selling price. It covers every product, whether or not it has a cost price, since selling price does not depend on cost being tracked.
Formula
Total Inventory Value = Sum of (Total Stock x Selling Price) across all products
Example
Product A has had 100 units pass through it in total, selling at 20,000 each. Product B has had 70 units pass through it, selling at 5,000 each, and has no cost price on record. Total Inventory Value = (100 x 20,000) + (70 x 5,000) = 2,350,000.
Note
This is different from Total Cost, which only counts products with a cost price and values them at what they cost to bring in rather than what they sell for.
Calculation Methods Used
Inventory Valuation
Description
FIFO (First-In, First-Out). The stock you purchased first is treated as sold first. When calculating your cost of goods sold, the oldest batch price is used before moving to newer batches.
Example
You bought 10 units at 200 each in January, then 10 more at 250 each in February. When you sell 12 units, the cost is: 10 x 200 + 2 x 250 = 2,500.
Revenue Calculation
Description
Revenue counts only completed sales at their recorded selling price. Voided or deleted sales are excluded.
Example
5 sales at 1,000 each = Revenue of 5,000.
Profit Per Sale
Description
Profit per sale uses the cost price of the specific units sold (FIFO order) at the time of sale. If cost price was not set, profit shows as zero for that item.
Example
Sold at 800. Cost (FIFO) = 550. Profit per unit = 250.
Period Aggregation
Description
Dashboard figures (Today, 7 Days, Month, Year) aggregate all sales and expenses within that date window. Today uses the current calendar day from midnight to now.
Example
"7 Days" includes all records from 7 days ago (00:00) to the current moment.
Credit and Debt
Description
Credit sales are counted in Revenue when the sale is made, but NOT in Received until payment is collected. The profit from a credit sale is counted in the period of the sale. Debt Recovery adds to the money received in the period it is collected, not to profit.
Example
Sale on credit for 3,000 in January. Revenue in January = +3,000. Received in January = 0. When paid in February, Received and Debt Recovered both increase in February.
Expense Impact
Description
Expenses reduce Net Profit in the period they are recorded. They do not affect Revenue or Gross Profit, only the bottom line.
Example
Gross Profit = 20,000. Record a 5,000 rent expense. Net Profit becomes 15,000.
